Manage Email

If you are a busy bee, your email load must be killing you. It will either consume too much time of your day or mess things up to no end during the course of your day. So at the end of it all, you realize that rather than making life easier, emails actually mess you up. But wait! This is not true of everybody. There are some people who manage emails so marvelously even when they have 500 or so emails flowing to their account every day.

How do they do that? The tricks are not too complicated, in fact, they are very simple. First thing is, use the latest version of the email client that you prefer. Personal favorites vary from person to person when determining which email client is best. If you would ask me what I recommend, I will go with Lotus Notes or Microsoft Outlook.

How to manage email is not even closer to rocket science but good practices will always save your day when it comes to being effective. That is why you need to use the latest version of the email client, whichever product you may choose to use.

Setting up an email client and categorizing email address and folders can take up sometime. But if you never do it, you will end up wasting a lot of time every day, without being able to manage emails effectively. So take the time to sit down and assign email rules for known email addresses. Create personal folders and let emails from subscriptions, email lists, promotions etc. fall in to a separate folder. Assign rules for VIP emails to fall in to a folder named urgent, important or must look.

When you manage email, make sure you do not forget to add humor. So make sure your email client is filled with colorful notes and pleasant things that will light up your day.

Make use of colorful flags when you manage emails. Assign priorities to emails according to the colors you choose to assign each email. This way, you will know which emails to address urgently and which ones can wait. It is not possible to deal with a couple of hundred emails on a single day unless your job role only expects you to do that. But unfortunately, email correspondence is only a tiny fragment of work expected from you at your working place. So you can do nothing better than to manage emails properly.

At some point in time we all struggle to keep within our email storage limit. In todays world, organizations run on email, and their performance and availability is certainly affected when email storage is not managed properly. Given the importance of email, businesses do not spend a lot of time managing it. Email storage management is most definitely not easy as few tools exist in doing the job well and it is a time consuming process, but the fact is emails must be managed well because it also acts as evidence of business transactions and decisions.

Managing email storage poses many challenges such as bloated email storage, inaccessible email content and obsolete email archives. As the email volume increases storing it on primary storage will only bog down the production servers and buying more storage hardware will only increase storage costs. With the growing number of stored emails, retrieving valuable information from previous emails becomes harder which poses a very high risk to loss of business too. When emails sit in archives for a long period it may be impossible to recover them because the original email application and media may have become obsolete.

Even though email communication was supposed to make life easier, managing email storage is the hardest part of it all. A few tips that will help manage emails are to organize incoming emails, process the inbox emails in batches, respond to emails quickly and manage contacts effectively. By processing your inbox in batches, perhaps twice a day, it will allow you to get about the rest of your tasks without regular interruption. A very popular habit is reading all the emails before getting a chance to reply to them. This process is very timing consuming, in that when replying you would have to read the email a second time and there is the tendency to forget about the email altogether. The most efficient way is to read the email and reply to it right away by keeping it short and sweet at the same time.

There are several types of email storage management systems however not all do the trick in archiving and helping you manage your emails. A few things to look for in an email management solution are the robust import and export tools, high quality conversions and tight compression. An email management program should effectively help you manage your emails and not have the emails manage you.

Today, almost everyone seems to want only one thing, to do more with having to pay less. A businessman is sure to think in a similar way especially when it comes to communicating with customers and other important parties. If you compare the cost of postal mail and email, the latter would cost you one third of the previous medium. This is why many individuals prefer using email instead of other modes as this is cheaper and more effective when it comes to staying in touch with potential buyers as well as current customers.

The sad part about most businesses is that they do not have a proper email address management method. For instance, some business to business companies email their clients but fail to save their email addresses or keep track of them, thus failing to have a whole list of their actual clients.

A good email address management system will be able to organize all the email addresses of your clients, etc into lists and books making it easier on you.

Many organizations communicate very sensitive information through email. There can be many instances where companies receive spam mails, sometimes blocking the whole system. Employees who receive emails from unknown people can increase the risk of a virus entering the system. When there is an email address management system that is working in an organization, one can feel more secure about their correspondences as there will not be any unwanted emails to be opened.

One of the major selling points of a recognized email address management system is its ability to filter emails that come from known individuals who are already in the address list and the unknown ones. This in turn becomes a great tool in filtering out viruses and spyware that could destroy important files.

When a company does not have an email address management system, chances are that there could be a number of bulk emails that may enter the system as spam and corrupt files, sometimes even leaving Trojan horses that will read or steal important information that could be easily found on the computer.

Some have controversial issues with regard to web-based email address management systems saying that it could make the emails more likely to be intruded by hackers. But studies show that an in-house server has a higher probability of being hacked as opposed to an outsourced email address management system. The outsourced email address management system is actually monitored 24 hours a day. Trying to do the same for an in-house system is not feasible and practical.
